What is a bill of sale?
A bill of sale is a written record that proves an item has been sold and that ownership has passed from the seller to the buyer. It lists who bought and sold the item, what it is, how much was paid and when. For private sales, especially of cars and other vehicles, it’s often the only proof of the transaction, which protects both sides if questions come up later.
This bill of sale template works for vehicles and general personal property, so you can use the same form whether you’re selling a car, a boat, a laptop or a dining table.
When do you need a bill of sale?
- Selling or buying a car, motorcycle, RV or boat privately.
- Selling valuable items like electronics, jewelry, furniture or equipment.
- Selling livestock, firearms (where legal) or business equipment.
- Any time you want written proof of payment and transfer.
Many states require a bill of sale to register or title a vehicle, and some require it to be notarized.

How to fill in a bill of sale, step by step

- Add the seller’s and buyer’s details. Check them against a photo ID.
- Describe the item precisely, copying the serial number or VIN exactly.
- Write the price in numbers and words, and tick the payment method.
- Note whether it’s sold “as is” or list any promises made about condition.
- Both sign and date it. Make two copies so each side keeps one.
Using a bill of sale for a vehicle
For car sales, the bill of sale usually goes together with the signed-over title. Record the exact odometer reading, since federal law requires an odometer disclosure for most vehicle transfers. Check your state DMV’s website: some states, such as Louisiana and Nebraska, have their own official forms or notary requirements. After the sale, sellers should remove their license plates where required and notify the DMV, so they’re not liable for anything that happens after the handover.

Does a bill of sale need to be notarized?
Usually not, but some states require notarization for vehicle or boat sales. Check your state’s rules.
Is a bill of sale the same as a title?
